Canadian Yearly Meeting grants and funding currently available

Canadian Yearly Meeting offers financial assistance through grants and subsidies. These grants and subsidies aim to foster connection, learning, and growth, focusing on the unique context of Quaker faith and practice in Canada.

Please note that funding amounts, guidelines, and criteria may vary each year. Applicants must adhere to the specified guidelines and deadlines to ensure fair distribution.

Total Available Funds: $11,500

Application Deadline: A first round of applications will be received until May 15, 2025, and families will be informed by June 1, 2025.  If there are still funds available, a second round of applications will be received until June 30th, with families being notified  by July 4th.

Who Can Apply / Requirements:

  • This travel subsidy is offered to Canadian Quaker families with children under the age of 18, youths under that age travelling alone, or Young Friends between the ages of 18 & 35 to attend CYM’s Children and Youth Program at Camp NeeKauNis Community Camp, July 19-26, 2025.
  • This fund is intended to subsidize travel specifically, in order to partially compensate for Canadian geography and the size of CYM. It does not apply to Camp registration fees or other expenses.  
  • Monthly meetings, if you have one, are happy to support families in their midst and may be able to provide financial support. Where available, families are encouraged to approach their meeting for assistance. 
  • For financial planning purposes, see Camp NeeKauNis website for registration information and fees.  Note that Camp NeeKauNis separately offers bursaries to help offset registration fees, see information on their website to apply. 
  • If the total amount requested exceeds the funds available, the amount granted for each request will be prorated accordingly. 
  • Note that priority will be given to the first round of applications, to be received by May 15, so that families can be informed by June 1 with some time to make travel arrangements. If funds remain, applications will remain open until June 30. Families are encouraged to submit applications in the first round if at all possible. 
  • Approved grants will be disbursed upon submission of receipts within 60 days of travel.

Educational Grant Guidelines 

The purpose of this grant is to support Friends and attenders to attend courses or workshops offered by recognized Quaker organizations to enhance their understanding of Quaker faith and practice, which would otherwise not be possible due to financial constraints. This grant is not intended to provide funding for attendance at an event.

Total available funds vary from year to year. 

Application Deadline: Apply at least 3 to 4 weeks before the start date of your course or workshop to allow time for processing.

Who Can Apply:

  • Canadian Quakers and regular attenders of Monthly Meetings.
  • Young Friends should seek support from their designated funding programme.
  • Priority is given to those who have not received a CYM grant within the last three years.
  • Please note that tuition for personal study at a Quaker college or university is not eligible.

Requirements:

  • Course or workshop must be offered by CYM, or another recognized Quaker organization.
  • A brief outline (max. 100 words) detailing why you wish to attend and what you hope to gain.
  • Approved grants will only be disbursed upon submission of receipts within 60 days.

Grants for Travelling in the Ministry

The purpose of this grant is to provide financial assistance for members of Friends meetings to follow leadings to travel in the ministry in ways that bridge
Monthly Meetings and Worship Groups. “As a Society without a local paid teaching ministry, we rely on ourselves and each other to read and think and speak about “the things which are eternal.”1 Travelling Ministry to Monthly Meetings and worship groups provides opportunities for Friends to
learn from one another. Open exchange builds understanding, respect, trust and love, and, with God’s help, renews awareness of the wider family of Friends. This grant is not intended to provide funding for attendance at an event.

Grant Limit per Person: Determined at the discretion of the Education and Outreach Committee.

Application Deadline: Apply at least 6 weeks before your start date to allow time for processing.

Who Can Apply:

  • Canadian Quakers and regular attenders of Monthly Meetings.
  • Priority may be given to those who have not received a CYM grant in the past three years.

Requirements:

  • A detailed proposal (max. 500 words) explaining the purpose of the travel, its objectives, and the anticipated benefits to the CYM Quaker community.
  • A breakdown of the requested amount and its intended use (e.g., travel, accommodation, event fees).
  • Proof of partial financial contribution (personal or through the Monthly Meeting).
  • A minute of support from your Monthly Meeting or other relevant body (e.g., CYM’s Continuing Meeting for Ministry and Counsel).
  • The travel purpose must align with CYM’s mission.
  • A post-travel report is required. This could be a 250-word written report, or a creative alternative such as a video or podcast.
  • The report should be shared on the CYM website and social media to raise awareness about the grant.
  • Approved grants will only be disbursed upon submission of receipts within 60 days.

This fund, originally intended to “aid aged ministers,” is now interpreted as providing assistance to members of the Society of Friends who have rendered long and useful service to the Religious Society of Friends. Applications for the Joseph P. Rogers Fund should include the following documents:

  • A letter from the applicant describing the reason for the application, the amount of money requested, and a full financial statement indicating any other funds applied for or received.
  • A minute from the applicant’s Monthly Meeting indicating that a Clearness Committee or a Committee of Care has met with the applicant and that the Meeting supports the application to the CYM Trustees. In some emergency cases, the Trustees may not require this minute.

When considering applying, please note that depending on the nature of the request, T4As may be issued for grants over $500. This means the grant must be claimed as income in your tax return, and anticipated tax should be set aside.

Monthly Meetings that want CYM ‘s financial assistance for capital improvements to Meetinghouses are expected to plan far enough ahead that they can be incorporated into CYM’s next year’s budget (e.g. grants approved in the fall of 2024 are for 2025). Monthly meetings are expected to budget internally for anticipated maintenance costs. In 2022, CYM’s Finance Committee anticipated that $40,000 would be a sustainable amount to allocate from the CYM General Fund for such improvements for the whole of CYM over a five-year period. Ontario Monthly Meetings are eligible to apply to Samuel Rogers Memorial Trust for such expenses.

Things to consider in the application:

  1. If the project is not dependent on getting a grant from CYM, if you have the resources to do the project, you may start the work ahead of receiving CYM’s decision.
  2. There is no formal application form as the projects are so varied. Finance Committee has found it best to explore the situation with appropriate questions for the specific project.
  3. Generally, the following is required:
    1. Information on the charitable status of your Monthly Meeting
    2. A description of the work to be done in a general way, for example, renovating the first-day school so it is soundproofed from the meeting room and not a bunch of technical specifications. Give some background and reasons for the work.
    3. The proposed timeline for the work.
    4. A description of how the work is to be done. If an architect, contractor, or plumber is to be used, what quotes have been received? Finance Committee prefers that there are at least two and, better yet, three quotes if the project is more than $5,000.
    5. The total expected cost for the project. If there is funding from other sources, and the amount the Monthly Meeting is asking CYM for.
    6. If the Monthly Meeting has the resources to do the project without CYM assistance, then provide an explanation for why they are applying for assistance.

Applications for meeting house renovations can be submitted to the General Secretary-Treasurer, who will review and then forward the request to Finance Committee for consideration. Requests for substantial amounts should be submitted in advance of the annual budget preparation in September for payment during the following year. The deadline for applications is September 30th.

CYM can only:

  1. send funds for approved grants once a copy of the recipes has been received by the CYM office; and
  2. disburse grant funds for the fiscal year in which the grant was approved.
