What’s a Business Meeting?

WELCOME TO MEETING FOR WORSHIP WITH ATTENTION TO BUSINESS

A Brief Perspective from John Samson of Winnipeg Monthly Meeting

Meeting for Worship with Attention to Business gives Friends an opportunity to practice several of our testimonies as we carry out the practical work of maintaining our faith community. We seek to be Spirit-led in our work, with as much efficiency as possible, achieving a sense of what Friends call “right order.” The following guidelines, developed and refined by Quaker communities over the last 350-plus years, are helpful for both newcomers and experienced Friends.

If you are led to speak, ask the clerk to recognize you by raising your hand. Allow silence before and after each person speaks.

To affirm something someone has said, simply nod or use the phrase, “This Friend speaks my mind.” Please don’t ask to be recognized so that you may express the same thought in other words.

When you speak, please stand, and speak to the clerk. Keep your comments plain and to the point and speak as much as possible from your own experience. — Expect to speak only once during consideration of a given item. Friends will not generally be recognized to speak on any given issue more than once, except to acknowledge a personal change of perspective during the meeting. The clerk may not call on everyone if there is a clear sense of the meeting.

When a person speaks in Meeting for Worship with Attention to Business, receive the words as you receive vocal ministry in Meeting for Worship – with an open heart and calm mind. If you have a strong reaction to something someone has said, sit with it until a way is clear for you to speak with patience and compassion. Do not react to or critique what others have said, but express your own concerns and insights as deeply and honestly as you can

When the recording clerk is developing a minute, sit in worship, and hold them in the Light. Please refrain from conversation with your neighbour.

Paradoxical as it may seem, this approach is likely to achieve a decision, grounded on a sense of the meeting, far more quickly than a back and forth discussion would. Everyone has a chance to speak, and to be listened to. Everyone is encouraged to dig more deeply and share more honestly than they normally would. When everyone has spoken once, there may well be a clear sense of how the meeting is led to move forward. The clerk may want to reframe the question in light of what has been said and ask for another round of worship sharing. If there is no unity, further discussion is unlikely to help. The clerk may ask a few Friends to explore the question further and bring back a recommendation to the next meeting.

Meeting for Worship with Attention to Business is the crown jewel of Quakerism. In worship we learn how to listen deeply and open our hearts to the Light and to each other. In business meeting, where we inevitably encounter disagreements and differences, we find out whether we can listen and love deeply enough to be a gathered people, obedient to divine guidance.

CYFYM Representatives Report 2023

CYFYM Representatives Report

Meeting for Worship for Business, Canadian Young Friends Yearly Meeting

5th of Eleventh Month 2023

“We believe the Friends that surround us carry gifts sorely needed to do the work of God in our Meetings and in this world. As we wait, silently and expectantly, the Inward Teacher is available to all who listen, and when we listen together, we experience true holiness and wholeness. We are grateful to God for the space to practice faithful discernment as a community of Young Friends.” (CYFYM Epistle, 2023)

Canadian Young Friends Yearly Meeting has discerned a leading to be faithfully and joyfully present in the life of Canadian Yearly Meeting. The Meeting names CYFYM Representatives to help the meeting follow this leading. Reps participate in CYM Business Meetings and CYM Representative Meetings. Reps perform administrative tasks, including responding to correspondence from CYM, maintaining the website, mailing list, and Facebook page. Reps make an effort to reach out to other Quaker bodies when traveling, as well as through maintaining communication and facilitating the sharing of epistles and testimonies. Does CYFYM continue to discern a leading to be present with CYM in these ways?

Reps are available as a resource for young and young adult Friends with questions, leadings, and concerns. Is this a resource that continues to be useful to Friends of CYFYM?

When CYFYM ended its Hiatus in 2018, we discerned to only do as we are led. “We recognize that we are in a time of fostering new growth; our structures must support rather than impede us, and may grow or shrink with us as we discern ways forward in coming years.” (CYFYM Discernment Session Report, 2018). How are we led to be faithful as a community now? What are our needs as a faith community?

The responsibilities of CYFYM Reps can be summarized into two major categories: administration and public ministry. These two components are not entirely separate but do require different competencies and gifts which are not always present together.

The current CYFYM Reps are Steve Ginley, Zaley Warkentin, and Wesley Weima. Zaley and Wesley were named to the position which became the role of Representatives at the Young Friends Gathering at Camp NeeKauNis in 2017 and were officially named to this role when CYFYM ended its hiatus in 2018 while gathered at Camp NeeKauNis and Georgian College in Barrie, Ontario. Steve was named in 2019. Reps are not named to terms that last a certain number of years. Each of the Reps submits to CYFYM’s discernment of who should serve in this ministry if it is to continue in the same form. If this position still serves the needs of CYFYM, we recommend new Reps be named in this meeting to maintain continuity between the current Reps and new Reps before the current Reps age out of CYFYM.

As part of our work as Reps, Wesley and Zaley were named to serve on Canadian Yearly Meeting’s Change and Sustainable Transformation working group by CYM Clerks and Nominations Committee. Although we did our best to faithfully serve in this capacity, we did not feel heard. Wesley was led to lay down involvement with CAST in 2021. Zaley stopped attending meetings for the last 6 months of CAST, but did attend its final meeting.

The Reps do not attend every CYM Business Meeting. Prior to the Pandemic, CYM business was exclusively in person. Post Pandemic, the increased frequency of business meetings and their dispersed nature make it untenable and spiritually difficult to attend CYM Business online.

We believe that we represent CYFYM faithfully by speaking, and not speaking, with discipline when we are able to participate in CYM business.

Gathering Committee Report 2023

Gathering Organizing Committee Report

Meeting for Worship for Business, Canadian Young Friends Yearly Meeting

November 5 2023

Canadian Young Friends Yearly Meeting has discerned the value of getting our community together for retreats and gatherings. Gathering Organizing Committee is formed to carry out the ministry of planning ways for us to get together. Currently the committee consists of Rose Coutts, Lilia Fick, Steve Ginley, Caileigh Morrison, and Evelyne Russell. Steve, Caileigh and Evelyne were named at the CYFYM Meeting for Worship for Business in 2019; Rose and Lilia joined the committee since 2019 after they expressed interest and the committee discerned they ought to join.

Gatherings We Have and Have Not Planned

The Gathering Organizing Committee has planned three gatherings since CYFYM Meeting for Worship for Business in 2019.

  • Post-Boxing Day Young Adult Gathering at Friends House Toronto (December 27 to 30, 2019)
  • Thanksgiving Young Adult Gathering at Camp NeeKauNis (October 8 to 11, 2021)
  • TOGETHER AGAIN Young Adult Gathering at Friends House Toronto (February 10 to 12, 2023)

Gathering Organizing Committee has also discerned to not plan gatherings. We discerned we were not led to plan a youth/young adult event for Atlantic Friends Gathering when they approached us. We also discerned we were not led to plan a pre-CYM In Session youth/young adult retreat in 2023.

Committee Structure and Approach to Planning Events

Getting Friends together has been our priority and that priority has manifested itself in various ways. In order to continue to be a committee which plans gatherings and not burn out our members, we do our best to do the business of our committee consensually and voluntarily. When a gathering is being planned, the committee names a Clerk for that gathering and discerns who will help with planning primarily based on members’ skills, location, availability, and willingness. So not every gathering is planned by all members of the committee.

We bought only snacks and breakfast food for our gatherings at Friends House and ordered take-away from local restaurants for lunches and dinners.

We had very open schedules for all of the gathering we planned, usually only scheduling Meetings for Worship and the occasional discussion. Usually times for planned events were flexible.

Concerns

We know that this open scheduling can be stressful or even a barrier to participation for Friends. We thank those who have stuck it out in our gatherings in spite of this open scheduling. We hope to

incorporate that concern in our future planning and remove the barrier, while continuing to prioritize Friends being together above sticking to a schedule as the reason for our gatherings.

We also hold the concern that all of the gatherings we have planned since 2019 have been in Ontario and have been for young adults, those older than 18. This is how we were led, primarily based on our capacity. We recognize that this does not serve all of CYFYM and we ask for your help so future gatherings can serve more of our community.

Conclusion

In our experience our structure has served us well and is one that is led by the Spirit, and we hope that future members of a CYFYM Gathering Organizing Committee take what they can from what we have shared in this report.

What Canst Thou Say, CYFYM?

We as Gathering Organizing Committee submit to the discernment of the gathered body with us today. Some queries that may aid in this discernment:

Does CYFYM discern the value of continuing to have a Gathering Organizing Committee?

Who ought to serve on this committee? We uphold the experience and tradition of Friends that the Spirit will call those who ought to serve, not just those who have the experience of having done this work.

Does a Gathering Organizing Committee have freedom to plan what they are led to plan? Are there specific places, themes, times of gatherings that you discern would serve our community? How can you help us to carry out what you discern?

Agenda 2023

Canadian Young Friends Yearly Meeting In Session

Agenda for 5th Day of Eleventh Month, 2023

“…[T]he way forward for our meetings only becomes evident as a few of us, individually and together, have the humility to admit our need for an active faith, a trusting of ourselves to the love of God and to the leadings of God’s Spirit in our lives. The way forward for our meeting depends on some of its members choosing to accept the discipline of a spiritual life, both in solitude and in community. Growth in the spiritual life will then be wholly dependent on our continuing readiness to let God show us what are the right priorities for the use of our gifts, our resources, and – most critically – our time. It will be dependent on our disciplined alertness day by day, so that we become aware that even those previously right priorities have been changed.

It is a life of adventure, of challenge and often of joy – but also a life of paradox, in which discipline is the key to freedom as humility is the key to faith.” Alastair Heron, 1989

“CYFYM is the Committee for Hope. We don’t feel like we’re dying out.”
07-10-2023 (01) We discussed the upcoming proposal for where CYM in session will be held
next year. Concern was raised over whether or not there would be time in the schedule as well
as an appropriate space for CYFYM to hold our business sessions. It would be difficult for any
Young Friends from out of town to attend the first section of Gathering, due to lack of
accommodations at Friends House. Holding CYFYM at a different time than CYM in session
would make it much harder for the younger friends to attend, as they generally travel with family.
We hope that the needs of CYFYM to meet in person are considered and supported as this is
essential for our meeting and community.

Minutes [Seventh Month, Twelfth Day]
In attendance: Redacted for Distribution

07-12-23 (01) Caileigh gave us a brief history of Yearly Meetings in general. Friends shared
their experiences, challenges and joys. It was a gathered meeting that left friends feeling lifted
out of heaviness into light. Themes from our community check-in will be shared in our epistle.
07/12/23 (02) Given the present circumstances of having 4 years with no business meeting, and
the Representatives having little guiding light, as well as those serving on the Gathering
committee, we propose to have one online business meeting on November 5th 2023 at 1pm
Pacific time, to discuss these matters more thoroughly. This gives time for the Representatives
and Gathering committee to discern their calling as to continued service and to give time for
new names to be brought forward. We encourage those Friends in common localities to gather
in person to connect to the meeting. We will use all possible means to communicate this to all
Young Friends across the country.

Items laid over:
● Reps Report

● Gathering Committee report
● What are we led to do now?
● Is our structure still serving us?
● What do we want to see in the next year?

Canadian Young Friends Yearly Meeting Epistle 2023

Loving Greetings to Friends Everywhere,
Our meeting feels hopeful, continuing the tradition of our Yearly Meeting, we are both starting
afresh and growing in faithfulness. There are many challenges in choosing to be a community, it
is difficult, but the reward is ultimately worth it. This we affirm each time we gather.
We are overjoyed for the new faces within our Yearly Meeting and have so much love for those
returning. We recognise the voice of The Spirit in our newest members and they enrich the life
of our meeting. We believe the Friends that surround us carry gifts sorely needed to do the work
of God in our Meetings and in this world.
As we wait, silently and expectantly, the Inward Teacher is available to all who listen, and when
we listen together, we experience true holiness and wholeness. We are grateful to God for the
space to practice faithful discernment as a community of Young Friends. This grounding blesses
us to bring forward this gift to our Monthly Meetings, Half-Yearly Meetings, and to our Sister
Yearly Meeting.
We discerned a unique call. We affirm our business as Friends is practiced with greatest
integrity when we gather in person. Canadian Young Friends Yearly Meeting will gather again in
person next year. Having clearness on the service needs of our Yearly Meeting requires
additional discernment before our next Yearly Meeting session. As such we call an online
business meeting at 1 pm Pacific Time on the 5th of Eleventh Month, 2023. For this Meeting,
where possible, we encourage Young Friends in common localities to gather in person to
connect to the meeting.
As we rise from Canadian Young Friends Yearly Meeting, we hold we are never alone. We carry
the witness of our community. God is with us, and if we are careful to listen, always speaking.
